TICKET EXCHANGE & RETURN POLICY

1. GENERAL REFUND POLICY

All ticket sales are final. Refunds are only available if a request is submitted via email to support@beautysummit.ai within the timeframes outlined below.

Cancellation Timeline

Cancellation More Than 60 Days Prior to Event:

  • Attendees are eligible for a 100% refund, minus a $50 USD administrative processing fee.

Cancellation 30–59 Days Prior to Event:

  • Attendees are eligible for a 50% refund.

Cancellation Less Than 30 Days Prior to Event:

  • No refunds will be issued.
  • However, you may transfer your ticket to a colleague (see Section 3).

No-Shows:

  • Registration fees are non-refundable for delegates who fail to attend the event (“No-Shows”) for any reason, including flight delays or personal scheduling conflicts.

2. VISA DENIAL POLICY (International Attendees)

We understand that international travel to Vietnam requires strict visa compliance. We offer a “Visa Safeguard” clause:

Eligibility

If your visa application to enter Vietnam is rejected by the immigration authorities, you are eligible for a full refund of your ticket cost.

Requirements

  • You must have applied for the visa at least 30 days prior to the event.
  • You must provide official proof of rejection (letter or email from the Vietnam Immigration Department or Embassy).
  • Notification must be sent to us no later than 7 days prior to the event start date.

Exclusions

Refunds are not granted for delayed applications or lack of travel documentation on the attendee’s part.

3. SUBSTITUTION & TICKET EXCHANGE

If you cannot attend, you may transfer your registration to a colleague from your organization. This is highly encouraged over cancellation.

Free Substitution

You may substitute the delegate name on your ticket at no charge up to 10 days before the event.

Late Substitution

Substitutions made within 9 days of the event (or onsite) are subject to a $25 USD re-printing fee for the delegate badge.

Procedure

To request a transfer, please email support@beautysummit.ai with:

  • Original attendee’s name
  • Replacement colleague’s full details (Name, Job Title, Email)

4. EVENT POSTPONEMENT & MODIFICATIONS

Postponement

If Beauty Summit Vietnam is postponed or dates are changed by the organizers:

  • Your registration is automatically rolled over to the new dates.
  • If you cannot attend the new dates, you may request a full refund within 30 days of the postponement announcement.

Program Changes

The organizers reserve the right to modify the speaker lineup, agenda, or venue (within Ho Chi Minh City/Hanoi) without liability. Such changes do not constitute grounds for a refund.

5. FORCE MAJEURE

The organizers shall not be held responsible for any delay or failure in performance caused by events beyond their reasonable control (“Force Majeure”), including but not limited to:

  • Typhoons, floods, or severe weather conditions in Vietnam
  • Government-imposed travel bans or epidemic restrictions
  • Civil unrest or strikes

In the Event of Force Majeure Cancellation

Organizers will offer a credit for the next edition of the summit or a refund at their discretion, less any unrecoverable costs already incurred by the event.

6. REFUND PROCESSING & CURRENCY

Method

Refunds will be processed to the original method of payment (Credit Card/Bank Transfer).

Currency

All refunds are processed in USD or VND.

Banking Fees

The attendee is responsible for any foreign exchange loss or bank transaction fees deducted by their own bank during the refund process. The organizer will only refund the ticket face value.

7. VAT INVOICE (Red Invoice)

If you require a VAT Invoice for tax purposes in Vietnam, please submit your company tax details upon checkout.

Important: Invoices cannot be modified or re-issued 14 days after the payment date.

IMPLEMENTATION NOTES

For Webmaster:

  • Interactive Elements: In the “Visa Denial” section, consider adding a link to your “Visa Support Letter Request” form, as this is helpful content for international guests.
  • Currency: Ensure your payment gateway terms match Section 6. If you charge in VND but the customer pays in USD, the exchange rate fluctuation on a refund can be significant. Clarifying that you refund the original billed amount helps avoid disputes.
