Payment and Banking Data: Data related to credit cards and/or other payment instruments used on the Website, bank account details (IBAN) necessary to proceed with the purchase of products and services available on the Website, as well as to manage exhibitor and visitor programs.

Images (Photos and Videos): During our trade show events, video recordings (including voice) and/or photographs are made by us and/or by photographers and/or videographers authorized by us. These will be used for publication on our websites/landing pages and social media profiles, and on brochures, catalogs, flyers, and other printed material promoting the events, and for creating event promotional videos. However, if such images portray you in a recognizable manner, Beauty Summit may publish them only with your specific consent, provided on-site to our official photographer and/or videographer. In such cases, you expressly waive any financial compensation for the use of your image. You may request at any subsequent time the blurring of your face in images published online, without prejudice to the lawfulness of the processing carried out until the date of blurring.

Other Information: You may also choose to provide us with other information when, for example, you fill out a form (e.g., to participate in specific services) or send a request for assistance or information through the INFO and CONTACTS section of the Website.

2.3. Newsletter Subscription

Newsletter subscription involves the acquisition of personal data (such as: name, surname, email address, and country) necessary to send you what you requested.

Beauty Summit does not control or supervise social media platforms to which you may have provided your personal data, nor does it use any of the interactions possible with such platforms (e.g., “like” on Facebook) to carry out direct marketing or profiling activities. Therefore, any questions and/or requests regarding the processing of your personal data by a social media platform should be addressed to the latter.

3. PURPOSES AND LEGAL BASES FOR DATA PROCESSING

You may use the services offered by Beauty Summit only after registration on the Website.

Exhibitors must have an account and authentication credentials issued by Beauty Summit upon signing the participation contract. Visitors (including “Buyers”) may register on the Website by creating their own account as indicated.

The telephone number, email, and other forms of electronic communication you provided during registration may be used to verify your account, provide you with requested services, and send you related communications.

Personal data made available to Beauty Summit may be used for the following purposes and according to the legal bases set out below:

A. To Offer You Services, Adopt Pre-contractual Measures, and Execute the Contract

To offer you services, adopt all pre-contractual measures you requested and/or necessary for contract conclusion, and execute the contract we have stipulated, we will use your data for the following purposes:

  • Allow access and navigation on the Website
  • Respond to messages and requests received through Website contact addresses
  • Manage the Website registration process
  • Manage your profile to allow you to access our services, according to the methods indicated from time to time
  • Execute the contractual relationship relating to your participation, as an Exhibitor, in trade shows organized by Beauty Summit
  • Execute the contractual relationship relating to the purchase of tickets for access, as a Visitor, to events organized by Beauty Summit
  • Execute the contractual relationship relating to sponsorship activities
  • Participate in seminars, free or paid, organized by Beauty Summit during trade show events
  • Participate in paid competitions organized by Beauty Summit (such as beauty awards and trend competitions)
  • Manage payments related to the aforementioned contractual relationships and/or use of offered services, as well as related invoicing activities

B. To Fulfill Legal Obligations to Which We Are Subject

We may process personal data for the following purposes:

  • Fulfill regulatory, fiscal, and administrative requirements instrumental to and/or otherwise related to contract execution and/or requested pre-contractual measures, as well as offered services
  • Fulfill obligations regarding security, health, and hygiene within trade show events, in compliance with current regulations
  • Fulfill legal and/or regulatory obligations to which the Company is subject or requests from Authorities or other competent Institutions

C. To Pursue Our Legitimate Interests

We may process personal data to pursue our legitimate interest aimed at:

  • Managing, protecting, and improving Website functionality
  • Sending communications related to your relationship with us and requested services, including based on the professional category you indicated during registration
  • Sending you commercial communications related to Beauty Summit services and products similar to those you have already used, unless you object
  • Ascertaining, exercising, or defending our rights and/or those of other companies belonging to our Group in court

D. Processing for Which Consent Is Required

With your express and separate consent, we may process your personal data for the following purposes:

  • Develop statistical and market studies and research

Personal data processing will be carried out using appropriate paper, electronic, and/or telematic instruments, with logic strictly related to the above purposes and, in any case, in such a way as to ensure data security and confidentiality. Specific security measures are observed to prevent loss of your data, unlawful or incorrect uses, and unauthorized access.

Processing related to Website services is handled only by technical personnel specifically authorized to carry out processing operations, or by persons authorized to carry out occasional maintenance operations. Such processing is also carried out by subjects providing services for the management and maintenance of the IT system and technical assistance services relating to offered services, operating as Data Processors or autonomous Data Controllers.

Such processing is carried out at Beauty Summit’s headquarters. All data is stored on cloud servers. The Website is managed with the assistance of IT development, assistance, and maintenance service providers, who also act as Data Processors.

5. DATA PROVISION AND CONSEQUENCES OF REFUSAL

Providing your data for the purposes indicated in letters A, B, and C of section 3 above is not mandatory; however, failure to provide such data, even partially, would make it impossible to complete the registration process, execute the contractual relationship or pre-contractual measures, allow you to use related services, and fulfill legal and regulatory obligations.

We also inform you that failure to provide or withdrawal of your consent for the purposes indicated in letter D of section 3 above will result in the impossibility of conducting statistical and market studies and research, as well as sending you the Newsletter or other promotional and commercial communications.

6. RECIPIENTS OF PERSONAL DATA

We may communicate your personal data to the following recipients:

  • Parent companies, subsidiaries, associates, and/or affiliates of the Beauty Summit Group
  • Physical or legal entities that collaborate in Beauty Summit’s commercial activities or have contractual relationships with it or that provide products or services instrumental to managing the contractual relationship with Beauty Summit or services offered by it
  • Subjects, entities, and/or companies dealing with statistical and market research, as well as providers of services related to the organization and conduct of events and exhibitions
  • Subjects, entities, and/or companies that manage and/or participate in the management and/or maintenance of the Website and related services, as well as electronic and/or telematic instruments we use, hosting service providers
  • Subjects responsible for carrying out services related to managing payment systems used on the Website, as well as ticketing managers
  • Insurance companies
  • Subjects providing, on our behalf, various services (e.g., tax and fiscal consultants, auditing companies)
  • Independent professionals or professional firms tasked with assuming our defense in contentious and/or administrative proceedings, as well as debt recovery companies
  • Public security and judicial authorities, subjects, entities, or other authorities to whom data communication is mandatory under legal provisions or orders from Authorities

Within trade show events, Exhibitors and specific clients of such events may use an app that will allow badge scanning and acquisition of personal data of Visitors who visit their stands. Subsequently, such data will be processed by Exhibitors according to their own privacy policies, to which reference is made.

In any case, your personal data will not be subject to disclosure.

7. INTERNATIONAL DATA TRANSFER

Your personal data may be transferred abroad, in compliance with current regulations, including to countries not belonging to the European Union, for the fulfillment of obligations imposed by laws, regulations, or European legislation, or for carrying out the purposes referred to in section 3 above.

Transfer to non-EU countries, in addition to cases where this is guaranteed by Commission Adequacy Decisions, is carried out to provide appropriate and suitable guarantees pursuant to applicable data protection laws.

8. DATA RETENTION PERIOD

Your personal data will be processed only for the time necessary to achieve the purposes for which they are processed, in accordance with legal obligations, and in particular:

  • Data will be retained for the entire duration of the contractual relationship with Beauty Summit and offered services and, after their termination, only for the time necessary to ensure fulfillment of all legal obligations
  • Invoices and any other accounting documents will be retained for the entire duration of the existing relationship and, subsequently, for ten years from the date of the last registration
  • Identification data of your credit card or any and/or additional payment systems available on our Website will not be retained, even temporarily, in our systems
  • Data processed for sending the Newsletter and additional promotional and commercial communications will be processed until you communicate your desire to withdraw consent, according to the methods made available from time to time. In the absence of withdrawal, data acquired for the aforementioned purposes may be retained for a period not exceeding 24 months. After withdrawal or, in its absence, after the indicated retention period has elapsed, data will be deleted or made permanently anonymous
